Production Coordinator

About the role

We’re looking for a Production Coordinator to keep the day‑to‑day work of our Production team organized and moving forward. Based at our Vilnius head office, you’ll work closely with the Head of Production and help coordinate information between the Vilnius team and our production hub in Sri Lanka.

Key responsibilities

• Maintain and update cross‑development tracking for products in production, including tech sheets, timelines, sample packs and price‑negotiation documentation.
• Prepare cross‑development research briefs to support the Sourcing Manager.
• Administer day‑to‑day ERP system tasks (data entry, updates, corrections).
• Maintain and organise the shared drive system: folder structure, file naming and access management.
• Provide backup support to the Quality department for sample tracking and documentation preparation.
• Coordinate daily administrative tasks for the Production team at the head office.
• Act as the administrative point of contact between the head office and the Sri Lanka production hub.
• Track and follow up on open action items across Production, Quality and Sourcing to ensure deadlines are met.
• Support meeting preparation, note‑taking and reporting for the Head of Production.

Required profile

• Experience in production coordination, administration or operations, preferably in apparel or manufacturing.
• Strong organisational skills with meticulous attention to detail and accurate record‑keeping.
• Ability to prioritise multiple tasks and deadlines across departments and take ownership of open items.
• Clear communication skills and professional proficiency in English for written communication with international suppliers.
• Collaborative and flexible approach to working with Product Development, Sourcing, Quality, Warehouse and Production teams.

Required skills

• Experience with ERP systems.
• Advanced spreadsheet skills (e.g., Excel).
• Ability to work with tech packs, bills of materials (BOMs) and product development timelines.
