Events & Workplace Manager

About the role

Ace Waves is building an AI agents platform for leading consumer brands. The Events & Workplace Manager will keep the Kaunas office running smoothly so the product and customer teams can focus on delivering value.

Key responsibilities

• Plan and execute internal events end‑to‑end (all‑hands, parties, offsites).
• Coordinate logistics, venues and vendors for external events driven by marketing or other teams.
• Own and monitor the events budget.
• Manage day‑to‑day office operations in Kaunas (supplies, deliveries, parking, keys, cleaning, plants, general upkeep).
• Order daily lunch, manage catering and office vendors, and control the monthly office budget.
• Handle onboarding and off‑boarding logistics, including desk setup, equipment, welcome kits and access removal.
• Oversee office moves, managing the full process from start to finish.
• Book on‑demand meeting or coworking spaces for occasional UK in‑person days.
• Ship, track and manage equipment for remote UK team members, including returns.
• Support remote onboarding kits and setups for distributed staff.
• Book hotels and transport for team members who prefer assistance.
• Run culture rituals such as birthdays, work anniversaries and new‑joiner welcomes.
• Administer event‑based benefit payments in line with company policy, handling personal data discreetly.

• Highly organized and proactive with a strong attention to detail.
• Enjoys both the steady rhythm of office management and the excitement of event delivery.
• Excellent communication skills and the ability to be the first friendly face for visitors, candidates and clients.
• Comfortable handling confidential information and benefit administration.
• Ability to work independently and collaborate across a hybrid, fast‑moving startup environment.
