About the role
The International Rescue Committee is seeking a Department Manager to provide high‑level administrative and operational support to senior leaders in Philanthropy and Marketing & Mobilization. This role ensures smooth day‑to‑day operations, enabling the team to focus on advancing the organization’s humanitarian mission.
Key responsibilities
- Manage complex calendars, coordinate meetings, arrange travel, and process expenses for senior directors and the Chief Marketing & Mobilization Officer.
- Oversee information flow and meeting cadence, draft updates, set agendas, and support monthly team meetings and leadership forums.
- Support people operations and team infrastructure, including HR forms, new‑hire setup, distribution lists, Box/Teams access, and coordination of IT and office services.
- Own shared team inboxes and operational accounts, handling routing, renewals, reconciliation, and access management.
- Provide finance operations support such as vendor onboarding, invoice/PO/payment follow‑up, workflow approval monitoring in Integra, and basic budget coding guidance.
- Maintain and update team‑wide materials like org charts, onboarding documents, and intranet pages.
- Coordinate staff off‑boarding logistics, including equipment return.
